Coronavirus Policy

This is a fast-moving situation and as such our policy will continually evolve in response to government advice. The health and safety of our employees, clients, and tenants will always be of paramount importance. 

In light of the government’s most recent guidance in relation to coronavirus, we have taken the decision to close our offices from 6pm on 23rd March until further notice.

Business Continuity

Business Continuity plans are in place, and our remote working capabilities are allowing all staff to work from home, whilst ensuring that there is minimal disruption to our business. Our telephony infrastructure and IT systems are entirely cloud based. We would also highlight that:

  • All of our paperwork can be e-signed, and does not require you to attend the office in person.

  • All maintenance reports should be made via our PropertyFile app.

  • Where available we can conduct virtual property tours using 360 degree video technology.

Property visits

Planned property inspections, non-urgent maintenance, and accompanied viewings have all been suspended until further notice.

As well as conducting virtual property tours using 360 degree video technology we will also, on a case-by-case basis, explore with occupiers whether they are able to provide live video tours to applicants via WhatsApp, FaceTime, or Skype for example. Alternatively, an incumbent tenant could pre-record a property tour and send it to us so that we can share it with an applicant. 

Non-urgent repairs can continue to be logged with us, and we will liaise with you about the most appropriate time for these to be completed. Where urgent maintenance does need to be completed, employees will take precautions – such as asking occupiers to stay in another room whilst work is completed.

The following is a list of works considered urgent:

  • Major flooding

  • Total loss of or major fault with electricity supply

  • Unsafe electricity fittings

  • Gas leak

  • Loss of hot water

  • Failure of lift

  • Roof leaks resulting in serious internal flooding

  • Plumbing leaks that cannot be contained

  • External doors or windows not closing or locking

  • Breaches of security to external doors or windows

  • Failure of fire alarm system

  • Sole or only accessible WC not flushing

  • A plumbing leak or roof leak that has the potential to cause damage to the property

  • Fire Door not closing properly

  • Full loss of communal lighting or emergency lighting

And in relation to communal areas in blocks:

  • Cleaning of communal areas

  • Maintaining external bin stores

  • Damaged communal floor covering presenting immediate trip hazard

  • A plumbing leak or roof leak that has the potential to cause damage to the property

  • Fire Door not closing properly

  • Full loss of communal lighting or emergency lighting

  • Lift outage

Tenancies

In line with Tenancy Agreement terms, tenants must notify us if their property is going to be vacant for 28 days or more.

Rent must continue to be paid in accordance with tenancy agreements.
